Refund Policy for Delegates and Participants

General Policy

Please read this Refund Policy for Delegates and Participants carefully. All registrations for AI MENA Forum are final and non-refundable.

The Forum commits significant resources to planning, venue arrangements, logistics, catering, technology, security, and event operations based on confirmed registrations. Accordingly, cancellations by delegates do not qualify for refunds.

Delegate Substitutions

If a registered delegate is unable to attend, the registration may be transferred to another individual from the same organization or a different organization.

Substitution requests must be submitted in writing no later than fourteen (14) calendar days before the start of the Forum.

The replacement delegate must meet any applicable registration requirements and provide all requested information necessary to complete the transfer.

No substitutions will be accepted within fourteen (14) days of the Forum.

Event Cancellation Due to Force Majeure

If the Forum is cancelled and cannot be held due to a force majeure event, registered delegates will be entitled to a full refund of registration fees paid.

Force majeure events include, but are not limited to:

  • Natural disasters
  • Public health emergencies
  • Government restrictions
  • Civil unrest
  • Armed conflict
  • Terrorism
  • Transportation disruptions
  • Utility failures
  • Other circumstances beyond the reasonable control of the organizers

Refunds under this provision shall be limited to registration fees actually paid to the Forum organizers and shall not include travel, accommodation, visa, insurance, or other related expenses.

Program Changes

Changes to speakers, moderators, session topics, program structure, agenda, venue, schedule, or event format shall not constitute grounds for cancellation or refund.

Refund Processing

Where refunds are applicable under this policy, they will be processed using the original payment method whenever reasonably possible and within a reasonable period following cancellation confirmation.
